[ HOW IT WORKS — BLOCKMANOS ]
BlockManOS is purpose-built for Irish block management agents. Here is what your workflow looks like — from the moment you onboard a development to the day you issue MUD Act-compliant service charge demands and keep directors informed without a single phone call.
Use the guided wizard to create the development, add buildings and units, link the OMC legal entity with its CRO number, and import your owner register by CSV. One setup flow replaces days of manual data entry.
Create the OMC's annual budget with cost line items. BlockManOS apportions service charges across units and generates MUD Act-compliant demand notices — including the statutory budget breakdown, payment deadline, and OMC bank details — then emails them as PDFs to every owner in one action.
The compliance calendar pre-populates AGM deadlines, CRO annual return dates, insurance renewals, and fire safety certificate reviews. Maintenance requests arrive from the AI chat agent or the owner portal, get assigned to a vetted contractor, and are tracked to close-out — with contractor insurance expiry checked automatically.
OMC board directors log in to their own portal to see the sinking fund balance, open maintenance jobs, upcoming compliance deadlines, and AGM documents — without needing to ring the agent. Owners access their service charge statements and submit requests through the owner portal. AML records for directors are stored and monitored in a dedicated module.

[ STEP 01 — DEVELOPMENT SETUP ]

Every development in BlockManOS follows the same hierarchy: Development → Block → Unit.
[ STEP 02 — BILLING ENGINE ]
The billing engine handles the annual cycle from budget to payment tracking. Set your cost line items, let BlockManOS apportion them across units, then issue demand notices — all containing the statutory fields required under MUD Act sections 14 and 17.
Annual budget with cost allocation Create budget line items per category. Apportion management and sinking fund contributions across units by equal share or ownership percentage.
Single-action demand generation BlockManOS generates one PDF demand notice per unit, including budget breakdown, payment deadline, and OMC bank account details.
[ STEP 03 — COMPLIANCE & MAINTENANCE ]
AGM scheduling, CRO annual return deadlines, insurance renewals, fire safety certificate reviews, and lift inspection dates — pre-populated per development with automated reminders as deadlines approach.
Requests arrive via the AI chat agent on your website, the owner portal, or raised directly by staff. Each job is assigned to a contractor, tracked through status stages, and linked to the relevant budget line.
[ STEP 04 — DIRECTOR & OWNER PORTALS ]
Two separate portals serve two different audiences without adding complexity for your team.
OMC directors access a read-only portal showing full financial reports, the compliance dashboard, open maintenance jobs, sinking fund balance, AGM documents, and contractor expenditure. They can approve invoices above threshold from within the portal — no email chains, no PDF attachments sent manually.
[ AML / COMPLIANCE — RUNNING PARALLEL ]
Irish block management agents carry AML obligations for OMC directors, secretaries, and landlord clients. BlockManOS has a dedicated AML module storing full name, date of birth, nationality, occupation, PPS number, proof of ID, proof of address, and other directorships — everything an auditor expects to see.
AML records per director and secretary Stored against the OMC entity — not buried in a general notes field.
PSRA licence tracking The dedicated PSRA module tracks licence numbers and expiry dates for your agency.

[ THE FULL PLATFORM — 97 FEATURES SHIPPED ]
Development → Block → Unit data model with full OMC entity management, CRO details, and MUD Act 2011 compliance fields.
Store leases, insurance certificates, AGM minutes, fire safety certs, and management plans. Tagged by type and year, searchable, accessible by role.
Guided onboarding wizard Walk through development creation, OMC linking, unit numbering, and owner import without getting lost in a blank form.
CSV owner import Upload your existing unit register and owner data in one go — no re-keying a 200-unit development row by row.
OMC entity linked at setup CRO number, registered address, directors, company secretary, and MUD Act 2011 compliance fields are all part of the initial record.
agentOS bi-directional sync If a unit is also a rental managed in agentOS, the ownership record stays in sync automatically — one update, both systems.
QuickBooks sync Blocks are sent as customers and demands as invoices to QuickBooks Online. Payment status returns via webhook so staff see it without leaving BlockManOS.
Sinking fund managed separately Capital reserve contributions are tracked in a dedicated sinking fund module, with 5-year reserve planning — as required under MUD Act section 18.

Public liability, employers liability, and Safe Pass expiry dates are stored per contractor. The system alerts agents before a certificate lapses — before the OMC's exposure does.

Schedule AGMs, EGMs, and Directors Meetings. Attach financial statements and board packs at the point of scheduling. Record minutes directly in the platform and distribute them to attendees without manually attaching files — the system generates the attachment.
21-day AGM notice generated automatically with statutory wording
Agenda management, proxy voting records, and quorum tracking
AI-assisted meeting minutes summary
Signed minutes stored in the document repository against the meeting record
Financial reports and budget-vs-actual view
Invoice approval queue for expenditure above threshold
Compliance and maintenance status at a glance
AGM documents, minutes, and resolutions
Unit owners log in to view their service charge demands, payment history, and key development documents. They can submit maintenance requests directly through the portal, which flow straight into the agent's maintenance queue with the unit pre-filled.
Service charge statements and payment history
Maintenance request submission from the portal
Development documents — accounts, insurance certificates, minutes
Communications and development notices received
GDPR data subject request tooling Manage right-to-access and erasure requests from the GDPR dashboard — audit-ready records of all activity.

Send targeted notices to owners, occupants, or landlords — by development, by audience — with email delivery and document attachments from preset templates.
Centralised key register with naming conventions, duplicate prevention, and the ability to send a key number and gate code securely by text from within the system.
Bi-directional sync with agentOS eliminates double-keying. Owner changes propagate to both platforms. Rental units are flagged on the block record automatically.
Owners and occupants submit requests through an AI chat agent on your website. It verifies them, captures the issue, and creates the maintenance record without staff intervention.
