21-day statutory notice generated automatically
BlockManOS is built around the Irish OMC as the central legal entity. The platform models each Owners' Management Company with its CRO registration number, registered address, directors, company secretary, incorporation date, and MUD Act 2011 compliance fields. On top of that foundation sit AGM and EGM scheduling with statutory 21-day notice generation, formal meeting minutes recording and distribution, director and secretary AML documentation, and a dedicated Director Portal giving board members access to financial reports, compliance status, and AGM documents without needing a full agent licence. It is purpose-built for Irish block management practice, not adapted from a generic property tool.
The billing engine covers the full cycle from budget to door: annual or instalment service charge demand notices are generated as PDFs server-side and emailed directly to unit owners, each containing the statutory information required under MUD Act sections 14 and 17. Payments received are recorded against each demand with bank transfer reference, partial payment handling, and automatic arrears calculation. Interest on late payments, payment plans, and an aged debtors report are all supported. Online card or direct debit payment by owners is not yet available in the current release — owners receive and can view demands through the owner portal, but must pay by bank transfer. This is on the roadmap; details available on request.
No. BlockManOS has a live QuickBooks Online integration specifically for service charge management. New developments are pushed to QuickBooks as customers, and service charge schedules are sent across as invoices automatically. When an owner pays and QuickBooks is updated, the invoice status — outstanding or paid — is returned to BlockManOS via webhook, so your staff see payment status without switching tabs. Full financial replication is not the design intent: QuickBooks remains your accounting system of record, and BlockManOS handles the property management layer. Bank reconciliation stays in QuickBooks entirely.
The current permission model operates at organisation level with owner, admin, and member roles — any admin can see all developments within your organisation. Per-development access scoping, where an individual agent is restricted to only the developments assigned to them, is identified as a planned capability but is not yet implemented in this release. If granular per-development permissions are a hard requirement for your agency, we recommend discussing your specific structure with us before committing — contact us to book a detailed walkthrough.
Owners access a dedicated owner portal where they can view service charge demands and payment history, and download development documents distributed to them. Maintenance requests can be submitted by owners and occupants through an AI chat agent on your agency website — the agent verifies the caller is a legitimate owner or occupant, captures the property and issue details in plain language, and creates a maintenance record in the system automatically, replacing static web forms that break down on edge cases. Broadcast notices — such as AGM announcements or planned works updates — can be sent from within the platform to targeted audiences: occupants only, owners only, landlord-investors only, or all of the above, with document attachments supported.
BlockManOS tracks compliance obligations relevant to Irish block management: fire safety certificates, lift maintenance records, BER certificates, CRO annual return dates, and insurance certificate expiries — including contractor public liability, employers liability, and Safe Pass. The compliance dashboard surfaces upcoming deadlines, and automated alerting is built in for compliance obligations. CRO filing alerts and contractor insurance expiry alerts are areas where the alerting infrastructure exists but full automated reminders are still being completed — if your agency has specific compliance workflows, details are available on request. AML documentation for OMC directors, secretaries, and landlord-owners is also captured and stored against each contact record.
